What is Incident report (IR)?

A security incident report is a written record of a single specific event on a site (a theft, injury, trespass, alarm, or property damage), documenting what happened, when, who was involved, and what action the guard took.

What belongs in an incident report?

  • What happened, in plain factual language
  • Exact time and location
  • People involved, including witnesses
  • What the guard did in response, and in what order
  • Whether police, fire, or medical services were contacted
  • Whether anyone was injured
  • Photo or video evidence where it exists
  • Severity, and whether follow-up is required

When should a guard file an incident report?

Anything that could generate a claim, a police report, an insurance question, or a client complaint warrants its own incident report, even when the guard resolved it and nothing came of it. The cost of an unnecessary report is a few minutes; the cost of a missing one is the ability to prove what happened.
